This crucial administrative role is centered on maintaining the financial and contractual integrity of multiple construction projects. The successful candidate must possess a background in construction office procedures, with proven expertise in invoice processing and purchase order (PO) management. You will serve as the essential link between the project manager, site superintendents, subcontractors, and the accounting department, ensuring timely and accurate documentation that keeps projects on schedule and within budget.

Responsibilities
Financial & Administrative Control:
- Invoice Management: Review, verify, and process all subcontractor and vendor invoices against delivery tickets and contracts for accurate payment.
- Purchase Orders (POs): Generate, track, and manage all project Purchase Orders (POs), ensuring proper cost coding and authorization.
- Lien Waivers: Collect, track, and verify conditional and unconditional lien waivers prior to processing payments.
- Change Orders (COs): Assist in drafting, distributing, and tracking potential and approved Change Orders, updating contract values.
- Budget Support: Track project expenditures and commitments against the budget, alerting the team to discrepancies or potential overruns.
- Submittals & RFIs: Manage the Submittal and RFI process, ensuring timely distribution, tracking status, and follow-up.
- Meeting Minutes: Attend project meetings, accurately record, distribute, and track action items from meeting minutes.
- Document Control: Maintain an organized electronic and physical filing system for all contracts, drawings, specifications, and correspondence.
- Closeout: Coordinate and compile the final project closeout package, including O&M manuals and warranties.
- Ensure subcontractor compliance (insurance, safety manuals).
- Assist the Project Manager with scheduling updates and site reporting.
- Utilize project management software (e.g., Procore, Excel) proficiently.
