The Contracts & Sales Order Coordinator is responsible for processing incoming sales orders, maintaining accurate and organized quote folders, and supporting the Contracts Department with administrative and documentation tasks. This position ensures that all orders are entered accurately, quotes are properly documented, and contract files are complete and compliant with company standards.

salary: $60,000 - $65,000 per year

Responsibilities

 Enter customer sales orders into the company’s MRP with accuracy and attention to detail.
 Review incoming purchase orders and verify alignment with quotes, pricing, terms, and customer
requirements.
 Create, maintain, and update quote folders, ensuring all necessary documentation (quotes,
correspondence, approvals, and revisions) is properly filed and easy to retrieve.
 Communicate with internal departments (Quality, Production, Accounting) to confirm order details and
resolve discrepancies.
 Track the progress of quotes and orders to ensure timely responses and order fulfillment.
 Assist in preparing documentation for contracts, amendments, and renewals.
 Support audits by maintaining organized digital and/or physical records.
 Provide general administrative support to the Contracts dept. as needed, including report generation and
data entry.
