- Manage a complex, fast-moving calendar for a senior executive
- Coordinate high-level meetings, property tours, and client appointments
- Draft and polish correspondence, presentations, and client communications
- Prepare listing packets, property brochures, and client deliverables
- Assist with transaction coordination, compliance documents, and MLS updates
- Maintain confidential records with impeccable accuracy
- Organize travel, events, and internal team logistics
- Act as a professional liaison between clients, agents, vendors, and leadership
- Anticipate needs, resolve issues proactively, and keep operations flowing smoothly
- 3+ years of Executive Assistant or high-level administrative experience
- Real estate experience (brokerage, title, mortgage, or luxury hospitality) highly preferred
- Exceptional communication skills and polished professional presence
- strong proficiency in Microsoft Office, CRM systems, and digital organization tools
- Ability to work on-site, handle confidential information, and manage multiple priorities

Responsibilities
- Executive Support: Manage complex calendars, coordinate extensive domestic and international travel logistics, and process expense reports.
- Communication Hub: Draft, proofread, and manage executive correspondence, presentations, and confidential reports with exceptional discretion and professionalism.
- Meeting Management: Organize and facilitate executive and board meetings, including preparing agendas, distributing materials, and accurately recording meeting minutes and follow-up actions.
- Office Administration: Oversee the smooth functioning of the executive office, manage filing systems, and handle general administrative tasks.
