Key Responsibilities Transaction Coordination
- Manage real estate transactions from contract to close, ensuring all deadlines and compliance requirements are met
- Prepare, review, and track contracts, addenda, disclosures, and closing documentation
- Coordinate with buyers, sellers, agents, title companies, lenders, attorneys, inspectors, and vendors
- Monitor timelines, contingencies, deposits, and closing dates
- Ensure all files are complete, accurate, and compliant with brokerage and regulatory standards
- Provide high-level administrative support to leadership and top-producing agents
- Manage calendars, appointments, client communications, and follow-ups
- Maintain CRM systems, databases, and transaction records
- Assist with listing coordination, document preparation, and marketing support as needed
- Handle incoming calls, emails, and client inquiries with professionalism and discretion
- Support office operations, organization, and process improvement initiatives
- Prior experience as a Transaction Coordinator, Real Estate Administrative Assistant, or similar role (residential real estate preferred)
- strong knowledge of real estate contracts, transaction timelines, and closing processes
- Exceptional attention to detail and organizational skills
- Ability to manage multiple transactions simultaneously with accuracy and urgency
- Professional, polished communication style suitable for high-net-worth clientele
- Proficiency in real estate systems and tools (MLS, CRM platforms, DocuSign, Microsoft Office, etc.)
- High level of discretion, reliability, and confidentiality

- Prepare, organize, and maintain all transaction documentation (contracts, disclosures, addenda, inspection reports, closing statements)
- Track all critical deadlines (inspection periods, appraisal, financing, closing dates) and send reminders to all parties
- Coordinate with buyers, sellers, agents, lenders, title companies, inspectors, and attorneys
- Schedule inspections, appraisals, walk-throughs, and closing logistics
- Ensure files are complete, accurate, and compliant with brokerage and state requirements
- Maintain transaction records in internal systems or MLS/transaction platforms
Administrative Assistant Responsibilities
- Provide day-to-day administrative support to agents and leadership
- Answer phones, manage emails, and handle general office communication
- Assist with document preparation, correspondence, and file organization
- Update client and transaction databases/CRMs
- Support scheduling, calendar management, and internal coordination
- Assist with office operations and ad-hoc administrative tasks as needed
