Key Responsibilities Inventory & AP Operations
- 3-Way Matching: Reconcile Purchase Orders, Receiving Reports, and Vendor Invoices to ensure inventory accuracy.
- Vendor Management: Process high-volume invoices and reconcile supplier statements and aging reports.
- Returns: Manage the financial processing of RMAs, short shipments, and credit notes.
- Reconciliation: Match daily e-commerce sales (Stripe/PayPal) to bank deposits.
- Invoicing: Finalize customer billing upon shipment and monitor open sales orders.
- Cash Apps: Process customer payments and ensure correct tax accounting on all invoices.
- Month-End: Conduct bank and general ledger reconciliations.
- Analysis: Assist with cash flow forecasting and use Advanced Excel to audit purchase/sales ledgers.
- Compliance: Maintain organized financial files and audit documentation.
- Experience: 1–2 years in accounting (Inventory or E-commerce background preferred).
- Technical: Proficiency in Excel (Pivots/VLOOKUPs) and ERP systems.
- Skills: understanding of sales tax principles and GAAP.
- Traits: Highly organized, detail-oriented, and able to work independently.

- Manage the financial lifecycle of RMAs, short shipments, and credit notes.
- Oversee vendor aging reports and resolve payment discrepancies proactively.
- Finalize customer invoicing upon shipment and monitor open sales orders.
- Reconcile e-commerce sales (Stripe/PayPal/Shopify) to bank deposits daily.
- Apply customer payments and maintain healthy Accounts Receivable cycles.
- Review Proforma and final invoices for correct tax accounting treatment.
- Conduct monthly bank and general ledger reconciliations to ensure data accuracy.
- Assist with cash flow forecasting and management reporting.
- Maintain organized digital financial files and audit trails.
- Use Advanced Excel (Pivots/VLOOKUPs) for operational data analysis.
