Key Responsibilities 1. Accounts Payable & Job Costing
- Process high-volume vendor invoices and subcontractor pay applications.
- Ensure all expenses are coded to the correct Job Number and Cost Code.
- Reconcile monthly vendor statements to ensure all liabilities are captured.
- Collect, track, and verify Certificates of Insurance (COI) for all subcontractors.
- Manage the distribution and collection of Lien Waivers (Conditional and Unconditional).
- Assist in the preparation of "Close-out" packages for completed projects.
- Review field timesheets for accuracy and proper job coding.
- Assist in the preparation of Certified Payroll reports (if applicable to government contracts).
- Track prevailing wage requirements where necessary.
- Maintain digital and physical project files.
- Assist the Project Manager with permit applications or utility setups.
- Answer phones and coordinate office supplies or mail distribution.
- Experience: 1–3 years of experience in accounting or administrative support, preferably within the construction or real estate industry.
- Software: Proficiency in Microsoft Excel and experience with construction accounting software (e.g., Foundation, Sage 100/300, Procore, or QuickBooks Desktop).
- Knowledge: Basic understanding of AIA billing (G702/G703) and the difference between overhead and job costs.
- Traits: High level of accuracy, ability to meet strict deadlines (especially on "check run" days), and communication skills for dealing with subcontractors.
- Understanding of Notary Public requirements (or willingness to become a Notary).
- Familiarity with "Notice to Owner" (NTO) processes.
