What You’ll Be Doing
- The Strategic Gatekeeper: You will conserve the Executives' time by reading, researching, and routing correspondence. You aren't just filling a calendar; you are optimizing their day to ensure they focus on high-priority goals.
- Global Logistics: You will coordinate complex itineraries and travel arrangements for Executives and international visitors, ensuring every trip is seamless from departure to expense reimbursement.
- The "Vault": You will be privy to sensitive corporate information. Your ability to maintain absolute confidentiality and handle complex issues with a professional demeanor is paramount.
- Event Orchestration: From internal department summits to VIP visits, you will handle event planning from inception to budget preparation.
- Operational Hub: You will serve as the central information source for the department, ensuring projects are administered correctly and administrative workflows (reporting, presentations, material requests) run smoothly.
- Experience: 3+ years of administrative experience where you demonstrated a mastery of procedure, process, and systems.
- Education: Associate’s Degree (Business Administration, Communications, or International Business focus preferred).
- Anticipation: The ability to not just react to requests, but to anticipate needs days in advance.
- Tech Savvy: You are highly proficient in MS Office and comfortable adapting to new office gadgets and software applications.
- Communication: Your verbal and written skills are impeccable, capable of maintaining professional relationships with high-level internal and external contacts.

- Ensures accuracy, and often confidentiality in responding to complex and sensitive issues on behalf of Executives in a timely manner, and with a professional demeanor.
- Conserves Executive’s time by reading, researching, and routing correspondence, collecting, analyzing information; and initiating telecommunications.
- Maintains Executives business calendar and corporate expenses by planning and scheduling meetings, conferences, and teleconferences.
- Coordinates travel arrangements and itineraries for Executive and visitors and manages timely expense reimbursement.
- Ensures that department-related tasks are coordinated by serving as point person, information source and/or project administrator.
- Performs all administrative functions in accordance with company procedures and regulations (material requests, administering conference & function bookings, etc.)
- If needed, produces information by transcribing, formatting, inputting, editing, retrieving, copying, etc. Prepares reports as needed.
