Responsibilities
Front Office Management & First Impressions
- Serve as the first point of contact for all visitors, clients, vendors, subcontractors, and delivery personnel
- Answer and direct incoming calls with professionalism and warmth
- Manage the front desk, lobby, and common areas to ensure the office is always clean, stocked, organized, and welcoming
- Handle all incoming and outgoing mail, packages, plans, and deliveries
- Maintain office and break room supplies, refreshments, and general upkeep
- Monitor conference room schedules and prepare rooms for meetings
- Maintain visitor logs, assist with sign-ins, and uphold office security
- Respond to general inbox emails and route inquiries to the appropriate team members
- Provide document support including printing, scanning, filing, and organizing paperwork
- Maintain organized digital and physical filing systems
- Assist with preparation for meetings, company events, and trade shows
- Support internal communication between departments to keep daily operations flowing smoothly
- Help Project Managers and field staff with administrative needs as they arise
- Provide general administrative help to leadership and team members when needed
- Capture project highlights, office updates, and team moments to create light content for the company website and social media pages
- Help maintain a positive and professional brand presence online
- Assist with simple marketing materials or announcements when needed
