As the first point of contact, you will orchestrate the client experience from the initial phone call through the completion of in-person meetings. You will be responsible for maintaining a sophisticated office environment, ensuring all administrative processes run seamlessly, and proactively supporting our advisory team. - Technical Proficiency: strong experience with Microsoft Office (Outlook, Word, Excel) and comfort navigating web-based CRM programs
- Communication: Exceptional verbal and written communication skills

- Experience: Previous background in customer service or administrative operations

Responsibilities
- Meeting Logistics: Proactively prepare materials for upcoming client reviews and coordinate all confirmation calls and reminders
- Client Experience Management: Act as the primary ambassador for the firm, greeting clients with a professional demeanor and ensuring a comfortable, high-end environment
- Communications: Manage multiple phone lines with poise, directing inquiries and scheduling appointments with precision
- Office Operations: Maintain a neat, organized, and presentable office at all times; manage mail distribution and electronic filing systems
- Supply Chain & Vendor Liaison: Monitor, order, and organize office supplies and refreshments to ensure the office remains fully functional
- Process Improvement: Identify and implement opportunities to improve office efficiency and the overall client service model
- Team Collaboration: Provide surge support to the team during peak financial seasons and coordinate office functions as needed
