- Bachelor’s degree required.
- Minimum 4 years of administrative experience including support to multiple individuals at a given time is essential. Previous experience supporting a Corporate Headquarters office preferred.
- Excellent communication and interpersonal skills.
- Professional acumen. Ability to interact with individuals at all levels within the organization.
- Professional demeanor and ability to maintain confidentiality.
- Proactive, with the ability to work independently and with minimum direction.
- Must be able to multi-task and prioritize needs of multiple individuals to ensure needs of all team members supported are met in a timely fashion.
- Must be comfortable with Microsoft Office programs: Word, Excel and PowerPoint. SharePoint knowledge is a plus but not required.
- Spanish speaking is a plus but not required.

Responsibilities
- Welcome and check in all visitors, ensuring a professional and friendly experience
- Receive, sort, and distribute incoming mail and packages
- Prepare and send outgoing mail, certified mail, and shipments to appropriate business partners and external parties
- Receive and redistribute voicemails received through Corporate Headquarters line
- Coordinate and set up lunch orders for meetings and team events
- Receive and process invoices for lunch orders and team events
- Schedule and manage conference room reservations to avoid conflicts
- Monitor and replenish office and kitchen supplies
- Oversee general office upkeep, ensuring a clean, organized, and functional work environment
- Act as liaison between various departments to ensure proper management and maintenance of office equipment (printers, copiers, conference room tech)
- Providing additional administrative support to on-site staff and assisting with special projects as needed
