Responsibilities
The Administrative Assistant for Safety & EHS (Environment, Health, and Safety) provides high-level clerical support while acting as the primary keeper of the company’s safety records. You will bridge the gap between office operations and field/floor safety, ensuring that documentation is compliant, training is up to date, and the "culture of safety" is integrated into daily workflows.
Key Responsibilities
1. Safety Documentation & Compliance
Maintain and update the Injury and Illness Prevention Program (IIPP) and Safety Data Sheets (SDS).
Manage the OSHA 300 logs and ensure all workplace incidents are filed within required legal timelines.
Coordinate worker's compensation paperwork and act as a liaison between the employee and insurance providers.
2. Training Coordination
Schedule and track mandatory safety training (e.g., Forklift Certification, First Aid/CPR, Lockout/Tagout).
Maintain the Safety Training Matrix to ensure no employee’s certifications lapse.
Organize and take minutes for the monthly Safety Committee meetings.
General Administrative Duties
Manage calendars, prepare reports, and handle travel arrangements for the EHS Manager.
Draft internal memos regarding safety alerts or policy changes.
Ensure the front office remains compliant with posting requirements (labor law posters, exit signs, etc.).
