We are looking for an Executive Assistant to perform a variety of administrative tasks and support our company’s Chief Technology Officer and Chief Data Officer within the organization. Executive Assistant’s responsibilities include managing calendars, making travel arrangements, preparing expense reports, ad hoc special projects, and assisting within our Boston-based office. To be successful in this role, you should be well-organized, have great time management skills, and be able to act without guidance. Ultimately, you will contribute to the efficiency of the business by providing personalized and timely support to executive members. This is a hybrid role in Boston, MA. Candidate must reside in the Boston area and be willing/able to be in office up to 3-4 days per week and required to be in the office at least 1 day per week. Sustain a daily calendar of meetings and events. Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization. Arrange travel (including complex international trips) and accommodations for executives; prepare and approve expense reports. Screen and triage emails in executive’s inbox; respond to requests by gathering and providing information. Excellent communication and time management skills; proven ability to meet deadlines. Ability to function well in a high-paced environment; performs additional duties as assigned by executives. Draft and prepare correspondence for internal announcements, and organizations that the executive is involved with. Manage the Executive's contacts. Be responsive to emails/texts/phone calls; contact outside normal business hours during travel periods may be needed. Use discretion, confidentiality, and good judgment to handle C-Level matters.
