Office Administrator for Law Firm
A nationally operating law firm with five offices across the United States and
a team of 86 professionals, seeks an Office Administrator for their Irvine, CA office. The Office Administrator will play a critical role in the day-to-day operations of the office. The individual will oversee administrative functions, coordinate office services, manage support staff, and ensure that the office environment supports productivity and
professionalism.

responsibilities:
- Office Operations & Facilities:
- Act as primary liaison with building management regarding maintenance,
security, parking, and facilities-related issues.
- Oversee general office maintenance and coordinate repairs, space planning, and
office improvements.
- Monitor inventory of supplies and manage vendor relationships for office supplies
and services.
- Staff Management & Support:
- Manage and oversee daily operations of secretarial staff, receptionist, docketing
clerk, and project assistants.
- Supervise staff workload and ensure proper staffing coverage to support attorneys
and office functions.
- Coordinate with the firm's leadership team regarding performance management,
time off, and staffing needs.
- Assist with onboarding and offboarding staff; provide or coordinate training as
needed.
- Promote a positive and collaborative office culture.
- Billing & Administrative Oversight:
- Supervise secretaries in the preparation and processing of attorney billing using
the firm's accounting software, ensuring compliance with the firm's billing policy
and clients' billing guidelines.
- Ensure timely and accurate submission of time entries and invoices.
- Collaborate with accounting department to resolve billing-related issues as
needed.
- Communication & Coordination:
- Serve as a point of contact between the Irvine office and firmwide leadership.
- Communicate office needs, concerns, and updates to the appropriate departments.
- Coordinate meetings, events, and internal communications at the Irvine office.
- Support attorneys and staff with administrative needs and special projects.
- Compliance & Best Practices:
- Ensure adherence to firm policies and procedures.
- Support records management, confidentiality, and ethical compliance.
- Foster a work environment that supports the delivery of quality legal services.
qualifications:
- At least 5+ years of legal experience at a management level.
- Strong leadership and interpersonal skills; proven ability to manage and motivate teams.
- Exceptional organizational and problem-solving abilities.
- Proficient in Microsoft Office Suite.
- Experienced with legal billing software (e.g. SurePoint, Aderant, or similar systems).
- Well-versed in legal terminology and docketing procedures in California.
- Ability to maintain professionalism, discretion, and confidentiality.
- Understanding of construction law is preferred.
