Benefits Coordinator
The Benefits Coordinator serves as this Tysons Corner firm's primary coordinator for employee benefits, insurance, and related compliance functions. The role administers benefits and retirement programs, supports onboarding and firm operations, and ensures accurate reporting and regulatory compliance. This position requires strong organizational skills, exceptional attention to detail, discretion with confidential information, a high level of professionalism, and the ability to work collaboratively with attorneys, staff, clients, vendors, outside consultants, and third parties. The role also provides executive-level administrative support to the Chief Operating Officer.

responsibilities:
Benefits & Retirement Administration
- Serve as the firm's primary benefits coordinator, directly administering all employee
benefit programs with accuracy, responsiveness, and professionalism.
- Administer medical, dental, vision, FSA, and HSA programs, including open enrollment, payroll coordination, invoice reconciliation, employee inquiries, communications, and required annual notices.
- Prepare employee census data and benefit summaries for renewals and annual
distribution.
- Administer retirement and pension plans, including 401(k) and profit-sharing plans.
- Coordinate quarterly meetings with trustees and outside consultants; prepare meeting
minutes as required.
- Manage enrollments, contribution changes, loans, rollovers, census reporting, required
filings, and tracking of outstanding loans for former employees.
New Hire & Onboarding Administration
- Coordinate new hire start dates with IT, Accounting, Payroll, and Office Services.
- Distribute and review onboarding materials, including benefit, payroll, and compliance
forms.
- Prepare offer letters and severance agreements.
- Coordinate and participate in new employee orientation meetings.
- Coordinate background checks for all new hires.
Insurance Administration
- Coordinate annual renewal and administration of the firm's insurance programs,
including property and casualty, workers' compensation, automobile, umbrella,
employment practices, management, fiduciary, crime, cyber, and professional malpractice
coverage.
- Prepare and submit required insurance applications and renewal materials.
- Distribute and respond to requests for certificates of insurance from clients, landlords,
and third parties.
- Participate on and support the firm's insurance committee.
Executive and Administrative Support
- Provide high-level administrative support to the COO, exercising sound judgment,
professionalism, and discretion in handling confidential and time-sensitive matters.
- Coordinate COO priorities and ensure timely follow-through on operational,
administrative, and governance initiatives.
- Prepare, format, and distribute confidential correspondence, reports, and internal
communications in a professional and polished manner.
- Maintain and distribute firm policies and procedures at the direction of the COO.
- Coordinate Board of Directors and partner meetings, including scheduling, materials,
attendance as required, and preparation of accurate and confidential meeting minutes.
- Review and submit COO-authorized invoices and operational expenses for payment.
qualifications:
- Demonstrated experience in administrative support, benefits and insurance
administration, preferably in a law firm environment.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage confidential and sensitive information with discretion.
- Effective communication and interpersonal skills.
- Ability to manage multiple priorities in a professional services environment.
