responsibilities:
AR / AP Manager - Job Description
Accounts Receivable:
1
Record cash receipts daily by batch - checks, ACH, CC
2
Note any differences (tax, short, over)
3
Match deposit amount and date with Bank & QB
5
Keep all deposit details in designated file for future access (by month, by date)
6
Send CC links to customers
7
Review Open Items daily, and email past due customers -
8
Complete customer on-boarding forms, provide COI as requested by customers, notarize form when needed
9
If needed, invoice customer
Accounts Payable:
1
Pay vendor for "coil" invoices when payment received from customer
2
Pay "general" vendors when requested by Accounting
3
Provide all payment details to Controller, including copy of vendor invoice, copy of check, or ACH details at time of payment
4
Keep all payments detail in vendor designated file for future access
5
Receive and file copies of "coil" vendor invoices for future payments (date & inv #)
6
Keep record of AP that need to be paid. Obtain approval from Controller
7
Record checks in Positive Pay section of bank
qualifications:
Qualifications & Skills
- Experience: 4 years of proven bookkeeping or accounting clerk experience, with a heavy emphasis on high-volume Accounts Receivable.
- Software: Proficiency with accounting software (e.g., QuickBooks Desktop
- Communication: Excellent verbal and written communication skills-you'll be the voice of our collections and vendor relations.
- Cultural Fit: A positive, collaborative attitude. You love working in a small team environment where your feedback and presence matter.
