Part-Time Bookkeeper / Financial Administrator

Work Location: 100% Remote (Philadelphia, PA area preferred for occasional/rare local errands to bank or post office)
Position Overview
We are looking for a sharp, proactive, and accessible Bookkeeper to manage day-to-day accounting, full-cycle AR/AP, payroll, and benefits administration. You will handle financial operations for a lean core team along with an active roster of 30 freelance writers and voice actors.
This is a flexible, 100% remote role averaging 20 to 30 hours per week, with workload spanning both our core creative agency and our fast-growing startup. Because transaction volume includes large, intermittent payments, extreme accuracy, prompt communication, and responsiveness are essential.

responsibilities:
Key Responsibilities
- Accounts Receivable & Payable: Manage full-cycle AR and AP using Quickbooks and Bill.com; invoice clients), process contractor/talent payouts, and track intermittent high-value incoming checks.
- Financial Reporting & Analysis: Prepare weekly reports (including 10-day cash flow projections), month-end financial statements, and assist leadership with budget forecasting.
- Payroll & Benefits Administration: Process regular payroll and oversee employee benefits administration for internal staff and contract talent (writers, actors, production crew).
- Account Reconciliation: Perform regular bank and credit card reconciliations across multiple corporate accounts, ensuring zero-variance ledger accuracy.
- Platform & User Monitoring: Assist in tracking user sign-ups, subscriptions, and financial metrics.
- Ad-Hoc Financial Support: Coordinate localized banking deposits (if in the Philadelphia area) and support founders on strategic financial tasks.
qualifications:
Qualifications & Key Requirements
- Experience: Proven track record in full-charge bookkeeping, accounting, or business financial administration (agency, media, or tech experience is a plus).
- Software Proficiency: Advanced hands-on experience with QuickBooks and Bill.com.
- Detail-Oriented & Responsive: Meticulous attention to detail with the ability to maintain regular accessibility for urgent financial matters or quick turnarounds.
- Freelance / Contractor Management: Experience handling 1099 talent payouts, commission tracking, or freelance payroll.
- Location: 100% Remote (Candidates based in the Greater Philadelphia area are highly preferred for occasional physical check deposits, though not required).
