Large utility is looking for a Document Control Specialist in West Olive, MI. This role requires 2-4 years of experience in records management, essential skills in communication and organization, and knowledge of document control software (like ProjectWise or Prolog) to manage and audit all engineering and construction records, drawings, and change notices for Electric Supply capital projects.

responsibilities:
Core Responsibilities & Document Control Functions:
- Support project document control functions for construction projects.
- Support other Electric Supply Engineering (ESE) Document Control activities as applicable.
- Serve as the main Project Document Controller for design, construction, and close-out phases.
- Process engineering and project records and plant modifications, including:
- Drawings, manuals, transmittals, correspondence.
- Engineering Change Notices (ECN).
- Provide hard copy documents to projects for construction.
- Provide hard copy critical documents to Plant Document Control at the end of the project.
- Request and accurately assign controlled document numbers (e.g., for Wiring Diagrams (WD), P&IDs, circuits, raceways, valves, conduits) per established conventions from Plant Document Control / Engineering Record Center (ERC).
- Update and maintain the electronic database used for tracking, transmitting, and distributing documents and vendor submittals.
- Assess and audit records for accuracy and completeness.
- Identify issues and lead the implementation of recommendations and corrective actions for project/plant records.
- Assist in the management and updates of document management procedures.
- Report on activities for Daily, Weekly, and Monthly Operating Reviews.
- Work closely with engineering personnel.
- Guide engineering personnel on documented review and record requirements (procedures and job aids).
- Interact with internal and external parties to receive advanced information and data.
- Interact with other internal departments to resolve issues.
- Interface regularly with engineering, plant personnel, and drafters.

- May require carrying large, rolled prints to various locations in the plants or to projects.

- Responsibly order supply of paper and toner for plotters and call IT for support when needed.
- Exemplify safe work practices and follow Company compliance standards.
- Regular attendance is expected.
- Education: High school Diploma or equivalent.
- Experience: 2-4 years of experience in records management or similar roles.
- Software Experience: Experience with ProjectWise, Primavera Unifier, CM14, Prolog, or other document control software.
- Experience in clerical, administrative, or document control (preferably drawing or construction document control).
- Experience in database management.
- Some coursework/Associate Degree in: Information Science, Data Processing, or Data Processing Technology.
- Utility, engineering, or construction document control experience.
- Proficiency with Adobe Pro.
- Experience with Plotter and scanner operations.
