Long term contract role in Tonawanda, NY. Join a global leader in industrial equipment and engineering as a Document Control Specialist. You will bridge the gap between engineering teams and suppliers, managing critical project documentation and performing desk expediting to ensure project milestones are met on time and within high-quality standards.

responsibilities:
- Documentation Management: Manage internal and external project documentation workflows, including the setup and execution of secure data exchanges with third parties.
- Quality Assurance: Perform detailed quality checks on engineering and supplier deliverables (document numbers, titles, revisions) to ensure compliance with project requirements.
- Supplier Expediting: Proactively contact suppliers to ensure submittals are on schedule; perform desk expediting by monitoring internal systems and open order reports.
- Field Visits: Conduct occasional field expediting visits or virtual inspections to verify supplier progress and implement corrective action plans for delays.
- Reporting & Communication: Prepare field expediting reports, risk assessments, and delivery confirmations; escalate issues internally and with suppliers when necessary.
- Project Coordination: Distribute controlled documents via official transmittals, attend project kick-off meetings, and coordinate with internal functional groups to communicate critical information.
- Database Maintenance: Maintain accurate records of delivery statuses and update internal tracking tools and ERP systems with revised dates and comments.
- Education/Experience: Associate degree with 4+ years of experience in Document Management Coordination or a related field.
- Industry Knowledge: 3+ years of experience within the Oil & Gas or Industrial Gases sector is highly preferred.
- Technical Proficiency: strong skills in Microsoft Office and Electronic Document Management Systems (EDMS). Experience with Documentum, Bentley, VoloView, or AutoCAD is a plus.
- Expediting Skills: Proven ability to monitor orders via ERP systems and negotiate with suppliers to maintain accurate shipment schedules.
- Analytical Skills: strong problem-solving abilities with the capacity to identify potential delays and initiate proactive action plans.
- Communication: Excellent verbal and written communication skills for interfacing with cross-functional teams and external stakeholders.
