Responsibilities
- Manage and maintain complex calendars for up to five senior executives, scheduling meetings, appointments, and critical deadlines.
- Act as a proactive extension of executives, handling inquiries, managing voicemails, and representing the company in meetings.
- Prepare, format, and manage high-stakes documents, reports, and professional presentations using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with emphasis on detailed Excel spreadsheets.
- Take comprehensive meeting minutes and track action items and follow-ups.
- Assist with the preparation and kickoff of internal projects and strategic initiatives.
- Handle confidential and sensitive company and client information with discretion, trustworthiness, and integrity.
- Provide essential support for client needs and serve as a critical liaison.
- Coordinate and manage all logistics for company and executive travel, including booking flights, hotels, and ground transportation.
- Organize and maintain efficient digital and physical filing systems, ensuring information is accessible and secure.
- Handle company credit cards and financial transactions with meticulous attention to detail, accuracy, and privacy.
- Oversee general office organization and contribute to maintaining a productive and professional working environment.
