Our client, a long-standing leader in the manufacturing industry, is seeking a high-initiative Vendor Coordinator to join their lean, two-person accounting team. This is not a simple data-entry role; it is a critical position that requires high-level problem-solving, analytical skills, and a commitment to accuracy in a fast-paced production environment.
Key Responsibilities
- High-Volume AP Management: Process 150–200 invoices and manage approximately 100 check runs weekly for a busy manufacturing facility.
- Analytical Daily Reporting: Execute a complex, multi-step daily report that requires extracting data from various sources and using advanced "think-through" logic to reconcile entries.
- Three-Way Matching: Perform rigorous reconciliation of invoices against Purchase Orders (POs) and Receiving Reports (GRNs) to ensure 100% data integrity.
- Vendor Coordination: Act as the primary point of contact for 50+ monthly vendors; resolve payment discrepancies and perform statement reconciliations.
- Traditional Workflow: Manage a "paper-heavy," old-school office environment, including routing physical documents for signatures and maintaining meticulous manual filing systems.
- Cross-Functional Support: Train on key Accounts Receivable (AR) functions to provide essential department coverage and ensure continuity during period closes.
- Systems Proficiency: Utilize Syspro ERP and Microsoft Excel to manage intertwined manufacturing, procurement, and financial data.
- Month-End Support: Assist with fiscal period-close activities and audit preparation while adhering to strict deadlines.
- Experience: 2+ years of foundational Accounts Payable experience is required.
- Skills: strong Excel proficiency and experience with ERP systems (Syspro, Sage, or JD Edwards preferred).
- Traits: Independent worker with high initiative who can troubleshoot complex data tasks without constant supervision.
- Industry: Manufacturing or Construction background is a significant plus.
