Your Mission (Should You Choose to Accept It):
- Executive Command Center: Masterfully manage calls, messages, and the flow of information for our top R&D leaders. You'll anticipate their needs and act with precision.
- Presentation Powerhouse & Spreadsheet Sorcerer: Craft compelling memos, dynamic presentations, and organized spreadsheets using your Microsoft Office superpowers (especially Excel, Word, Outlook, and PowerPoint!).
- Meeting Maestro: Seamlessly schedule and set up meetings and conferences, both on our campus and across the globe. Your exceptional communication and knowledge of our facilities will ensure every event is a success.
- Financial Fortress: Efficiently process expense reports, ensuring accuracy and timely submissions.
- Logistics Legend: Handle all shipping and receiving needs with speed and accuracy.
- Proven proficiency in Microsoft Office Suite – you're not just familiar; you're an expert!
- Exceptional communication, organizational, and follow-up skills that shine across cultures.
- Impeccable interpersonal skills and professionalism – you know how to connect with people at all levels.
- The ability to thrive in a fast-paced, ever-changing environment with a positive attitude and a strong team spirit.
- A minimum of 5 years of experience as an Executive Assistant or Administrative Assistant, with a preference for supporting senior-level executives and international stakeholders.
- Experience handling confidential information and navigating compliance policies with discretion.

Responsibilities
•Answer phones, route calls and take accurate messages for R&D executive staff as assigned. Sense of urgency/knowledge of Executive’s needs is imperative in order to perform this task successfully.
•Create memos, presentations and spreadsheets as required using Microsoft applications.
•Schedule/set up meetings and conferences for Executives both on and off-site as required and must be able to successfully communicate with internal and external customers globally. Assistant must have exceptional knowledge of company policy and conference room equipment as well as excellent communication and follow-up skills to ensure that meeting requestor’s needs are met.
•Create detailed travel itineraries as required for traveling executives and ensure that all travel documentation is obtained before submitting documents to the R&D Travel Coordinator (i.e. visa information, passport information, foreign country invitation letters, etc.), ensure that department runs smoothly in his/her absence, etc.
•Process all on-line GERS Expense Reports as required for R&D SVP
•Route and follow-up on all documents requiring signature from SVP, Vice Presidents or Executive Directors, (i.e. Project Requests, Invoices, memos) and process or distribute accordingly.
•Execute all UPS and FEDEX requests
•Process and follow-up on all Office Supply orders for respective groups.
