Responsibilities
- Collect all shipping documentation from various warehouses and follow up on missing data.
- Review customer sale details, match quantities to pick and pack lists for accuracy.
- Analyze Bill of Lading (BOL), verify shipping, pick up, and/or delivery dates and compare to customer invoicing terms.
- Verify freight tracking from various freight forwarding companies, website and sources for proof of delivery.
- Update sale date and various customer invoice details in the system based on customer agreements.
- Dispatch and release inventory from the system based on customer agreements, delivery terms, and title transfer terms.
- Utilize Sign Now to orchestrate and organize multiple customer invoices by supplier to various appointed sales representatives for pricing verification.
- Electronic filing of all signed invoices.
- Reconcile all sales transactions between systems, check for backdated transactions, correct discrepancies.
- Research and respond to invoice inquiries from customers.
- Weekly customer open A/R reports.
- Back up support to AR Team Lead – Payment from supplier applications.
- Initiating debit and credit memos to customers due to pricing discrepancies.
- Monthly Statements to customers – with confirmation & follow up tasks.
- Process outgoing freight invoices.
- Assemble, organize and process various monthly accruals for commissions, amortized expenses, prepaid insurance and expenses.
- Daily, weekly, monthly filing and managing storage issues
