The ideal candidate will seamlessly interface with leadership in all aspects of contract preparation, change order billing, client invoicing, and project budget tracking/reporting. You'll be instrumental in supporting our "leveling up" operations as we continue to grow by leaps and bounds, directly contributing to our company's success. Advanced QuickBooks Online proficiency is required.

Responsibilities
Contracts & Administrative Support:
- Assist Legal in keeping company contracts up to date.
- Manage client and subcontractor contract execution, addressing questions and concerns.
- Request and manage all subcontractor licenses, W9’s, and COIs, ensuring currency throughout projects.
- Review and send Letters of Intent for pre-construction work, as directed.
- Maintain accurate physical and digital project folders.
- Prepare client expense worksheets for close-outs and billing.
- Provide administrative support to Preconstruction Management.
- Lead all client billing, ensuring accurate and on-schedule progress invoicing and timely payment collection.
- Manage change order billing.
- Create and send invoices with required backup documentation.
- Collect payments, deposit funds, and accurately record in QuickBooks.
- Address client inquiries and resolve concerns regarding invoicing, including past due notifications.
- Update and maintain T&M Worksheets and budgets for Cost Plus clients, including monthly reconciliations.
- Oversee client expense reports for project profit/loss accuracy, reporting to President and Vice President.
Skills
- Contract Administration (3 years of experience is preferred)
- AIA Billing (3 years of experience is preferred)
