A growing direct mail and marketing production company is expanding its Postal Operations team and looking for a reliable, detail-oriented Postal Operations Coordinator who is eager to learn and grow in a fast-paced, deadline-driven environment.
No prior postal or direct mail experience is needed — we’ll train you!
What You’ll Do:
- Review and enter mailing data into internal systems
- Perform quality checks on mailing files for accuracy and compliance
- Update and maintain permit information, shipping dates, and client-specific data
- Generate documentation such as postage statements, tray tags, and pallet flags
- Upload mailing data to postal platforms (PostalOne!, BCG, etc.) after training
- Monitor in-home delivery timelines and report inconsistencies
- Collaborate with internal departments and follow strict procedures to ensure mailing accuracy
- Assist with scheduling, postage planning, and data validation tasks
- Participate in training sessions and contribute to documentation and process improvement
- Attention to detail and accuracy

- Training: 8:00 AM – 4:30 PM, Monday–Friday
- Regular Shift: 12:30 PM – 9:00 PM, Monday–Friday

- High school diploma or GED required
- Experience in data entry, mailroom, fulfillment, print production, or clerical support is helpful
- No prior postal operations experience necessary — full training provided

Responsibilities
As a Postal Operations Coordinator, you will play a vital role in ensuring accuracy and efficiency across various data entry and mailing systems. Your responsibilities will include reviewing and entering data for high-volume mailings, verifying and editing file content, and preparing documentation required for postage and production. You will assist in importing and processing mail files, adjusting permit information, assigning customer IDs, and updating campaign data. You’ll help maintain mailing compliance by ensuring correct dates, shipping information, and postal requirements are met across various platforms.
This role requires daily use of internal software to monitor mailing activity, validate postage summaries, and generate key reports. You will also work with platforms such as PostalOne!, BCG, and Informed Delivery portals after receiving proper training. Additional duties include assisting with tracking mail delivery performance, identifying missing scans, communicating with USPS reps as needed, and helping with scheduling and postage planning.
You will be expected to stay organized, follow structured processes closely, and contribute to continuous improvements. As part of a team-driven environment, you may also help write or update training guides, participate in cross-departmental communications, and support administrative functions related to direct mail campaigns. Overtime may be required during busy periods.
