Responsibilities
Order Processing & Management
- Accurately process all sales orders for various flooring types (e.g., hardwood, laminate, vinyl, carpet, tile, and installation materials) in the order management system (e.g., NetSuite, QuickBooks).
- Verify product codes, quantities, pricing, and freight charges to ensure all order details align with quotes and company policies.
- Manage and track project paperwork, including initial estimates, detailed proposals, sales acknowledgements, and change orders.
- Process purchase orders (POs) for non-stock or specialty items from vendors/suppliers.
- Serve as the primary point of contact for customer and sales team inquiries regarding order status, product availability, lead times, and shipping details.
- Provide initial product information and help walk-in or call-in clients find solutions for their flooring needs.
- Proactively communicate any delays, discrepancies, or issues to the customer and sales representative.
- Handle customer complaints related to orders, invoices, and delivery, resolving issues efficiently and professionally.
Administrative & Product Knowledge
- Maintain a working knowledge of different flooring materials, their characteristics, installation requirements, and common industry terminology.
- Update and maintain customer and project details in the Customer Relationship Management (CRM) system.
- Contribute to general office duties and administrative tasks as needed.
