Responsibilities
- Create and manage all Purchase Orders for each project and ensure timely payment of vendor invoices.
- Research and resolve issues related to contracts, invoice discrepancies, and legal matters.
- Review, process, and reconcile pay requests and change orders; store documents and Lien Waivers in OPM project folders.
- Coordinate with CPMs and Design Managers to prepare Construction Bid Packages, including Bid Invitations and Supplemental Instructions; ensure timely distribution of plans to vendors via Expesite.
- Prepare contracts for construction projects, including General Conditions, Notices of Commencement, and Notices to Proceed.
- Maintain communication between internal teams and external vendors throughout the project lifecycle.
- Input and update budget spending in Expesite and Oracle; approve GC buyouts to accurately capture spending.
- Notify vendors and contractors of milestone date changes; interface with internal staff as needed.
- Maintain and update the Qualified Contractors List, including annual GC qualifications.
- Monitor payment requests, lien waivers, and change orders; secure required close-out documents before final payment.
- Review and reconcile pay requests, change orders, and invoices; maintain lien release records.
- Research and stay informed on lien laws across multiple states.
