Key Responsibilities Executive Support & Complex Coordination
- Calendar Mastery: Manage complex calendars for the team, balancing and prioritizing multiple administrative requests that often require executive-level judgment.
- Communication Lead: Act as the first point of contact for incoming calls and mail for directors and managers. You will respond independently whenever possible and ensure correspondence is routed with urgency.
- Design & Documentation: Type and design professional correspondence and high-quality presentations. You will maintain both hard and electronic filing systems to ensure all administrative processes are documented and current.
- Project Support: Assist with special projects and manage telephone coverage for key team members to ensure seamless business continuity.
- Program Management: Manage and coordinate promotion programs and provide critical support for the account’s forecasting processes.
- Office Stewardship: Maintain a proactive inventory of supplies and manage the distribution of incoming mail. You will also collaborate with administrative staff in other departments to align on organizational goals.
- Logistics Support: Execute shipment orders and ensure administrative tasks are handled with a high degree of accuracy and attention to detail.

Responsibilities
As an Administrative Assistant, you will provide calendar management, meeting coordination and preparation, confidential document creation, mail distribution, customer communication execution, and general office management. Additional responsibilities include, but are not limited to:. Determine best way to balance and prioritize multiple administrative requests, some of which are complex and require executive-level support. Arrange meetings for and provide calendar management for the team; May be required by other team members to arrange for group meetings. Organize programs, events or meetings by arranging facilities and catering, issuing information or invitations, coordinating speakers and controlling event budget.. Type and design general correspondence and presentation needs. Retrieve, coordinate and distribute incoming mail for named directors/managers.
