- 5+ years in Executive Assistant, Office Manager, or Operations Coordinator roles
- Experience in construction, mechanical, HVAC, plumbing, engineering, or related industries strongly preferred
- Comfortable in a structured, documentation-heavy environment

Responsibilities
Position Overview
This role functions as a strategic right hand to company leadership while also ensuring smooth day-to-day administrative and operational execution.
You will support:
- Executive scheduling & communication - minimal, low-maintenance President operating without an EA for years
- Project documentation flow
- Compliance tracking
- Office operations & vendor coordination
- Light accounting & reporting support
- Provide support, as needed, to the President (administrative, delegation of project tasks)
- Prepare reports, summaries, and internal communications
- Assist with special projects and operational initiatives
- Oversee office systems, vendors, and supplies
- Maintain licenses, permits, and compliance records
- Track Certificates of Insurance and subcontractor documentation
- Support invoice entry and coordination with accounting
- Maintain project files and contract documentation
- Assist with closeout packages and Operations & Maintenance manuals
- Ensure documentation accuracy and audit readiness
