The Opportunity We are looking for a high-caliber Senior Administrative Assistant to partner with senior leaders within our Global Technology organization. In this role, you will provide high-impact operational support that enables effective decision-making and team performance. You’ll navigate a fast-paced, matrixed environment, collaborating with cross-functional partners and an extended administrative community to ensure seamless coordination and shared best practices.
Key Responsibilities 1. Executive Support & Operations
- Complex Calendar Management: Proactively schedule appointments, meetings, and conferences, resolving conflicts across multiple global time zones.
- Travel & Itineraries: Coordinate end-to-end travel arrangements, including flights, accommodations, and detailed documentation.
- Financial Coordination: Prepare expense reports, track departmental budgets, and manage the full Purchase Order (PO) lifecycle for vendors.
- Document Excellence: Produce, edit, and reformat high-quality PowerPoint or Keynote presentations and organizational charts.
- Executive Messaging: Draft and edit communications on behalf of leadership, managing distribution lists and stakeholder approvals.
- Meeting Planning: Secure event spaces and handle logistics for offsites, including catering, agendas, and "run of show" planning.
- Culture Building: Assist leaders in fostering team connections through activities, staff meetings, and physical workspace optimizations.
- Special Projects: Assist with project tracking to ensure team deadlines and deliverables are met.
- Education: Bachelor’s degree in business or a related field (or equivalent combination of experience and training).
- Experience: Minimum of 3 years of administrative experience supporting senior-level executives.
- Technical Proficiency: Expert in MS Office (Outlook, PowerPoint, Word, Excel) and virtual tools (Zoom/Teams). Familiarity with AI tools (ChatGPT/Copilot) or Keynote is a plus.
- Adaptability: Proven ability to handle highly confidential information and thrive in times of high ambiguity.
- Financial Acumen: preference for candidates with experience tracking budgets and processing invoices.
