Key Responsibilities
- File Preparation: Collect and organize all required borrower documentation, including income verification, tax transcripts, and credit reports.
- Pre-Underwriting Review: Perform a high-level "scrub" of each file to identify potential red flags or missing information prior to underwriting review.
- Pipeline Management: Monitor the progress of multiple loan files simultaneously, ensuring all internal and external deadlines are met for a timely closing.
- Compliance Oversight: Verify that all disclosures and legal documents adhere to federal and state banking laws.
- Third-Party Coordination: Order and review essential services including appraisals, title searches, and flood certifications.
- System Maintenance: Maintain accurate and up-to-date records within the Loan Origination System (LOS) to ensure transparency across the lending team.

Document Management & Quality Control
- Gathering Stipulations: Serving as the primary point of contact for borrowers to collect necessary financial records like tax returns, income statements, and identity verification.
- File Scrubbing: Reviewing all submitted documents for completion and accuracy to ensure no signatures are missing and all data matches the application.
- Audit Preparation: Organizing files so they are "audit-ready" and compliant with both federal regulations and internal bank policies.
- Workflow Management: Moving a loan from the initial application phase through to the final "Clear to Close" status.
- Communication: Acting as the liaison between the Loan Officer, the Underwriter, and the Borrower to provide status updates and request additional information.
- Deadline Tracking: Ensuring that all rate locks and contingency dates are met so the loan doesn't fall through or cost the bank extra fees.
- Vendor Ordering: Initiating requests for essential third-party services such as property appraisals, credit reports, and title searches.
- Discrepancy Resolution: Reviewing title commitments or credit hits and working with the necessary parties to clear up issues before the final review.
