Responsibilities
Key Responsibilities:
- Serve as the primary point of contact for office operations, including phones, vendors, and general office coordination
- Manage office supplies, facilities coordination, and overall office organization
- Support shipping, documentation, and administrative processes across departments
- Coordinate travel arrangements (flights, hotels, rental cars) and expense reporting for field teams
- Assist with payroll time entry, reporting, and administrative tracking
- Create purchase orders, track orders, and support inventory/parts coordination
- Act as a liaison between internal teams, vendors, and customers to ensure smooth operations
- Assist with job coordination, documentation, invoicing, and operational support as needed
- 10+ years of experience in Office Management or a similar role
- strong ability to work independently with minimal supervision
- Highly organized, detail-oriented, and process-driven
- Experience supporting operations, logistics, or field-based teams is a plus
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- QuickBooks experience is a plus
- strong communication skills and ability to manage multiple priorities
- This role requires someone dependable with long-term tenure
- Occasional after-hours coordination may be needed for travel/logistics support
- Reports directly to executive leadership
