You will work closely with Research scientists and senior leadership to ensure all business workflows remain accurate, timely, and compliant.
Key Responsibilities
- Contract Administration: Manage the full contract lifecycle—from intake and drafting Statements of Work (SOW) to final execution and filing.
- Systems Management: Input and track data within contract management tools (e.g., Coupa, Determine) and maintain the team’s SharePoint site.
- Operational Support: Act as the primary point of contact for internal teams regarding contract status updates and help-desk ticket monitoring.
- Reporting: Create and maintain trackers and basic reports to provide leadership with clear visibility into operational health.
- Experience: Proven background in contract administration, vendor management, or business operations.
- Organization: Exceptional attention to detail and the ability to manage multiple deadlines simultaneously.
- Communication: strong verbal and written skills, with the confidence to partner with senior leadership and scientific teams.
- Tech Savvy: Comfortable using contract management systems, document tracking tools, and Microsoft Office/SharePoint.
- Problem-Solving: A proactive mindset and the ability to navigate complex internal processes.

Responsibilities
Contracts & Contract Lifecycle Support
· Support the full contract lifecycle from contract intake through execution, including submission, SOW drafting, tracking, and documentation management.
· Coordinate and submit contract initiation forms and required documentation into contract management systems (e.g., Coupa, Determine, or equivalent).
· Maintain accurate and up-to-date contract trackers and repositories to ensure stakeholder visibility.
· Serve as a primary operational contact for internal teams to support communications for contract submission form details and status updates, and facilitate the smooth flow of contract processes.
· Support continuous improvement of contracting workflows, trackers, and templates.
Operational Systems, Data & Reporting
· Maintain and update the Business Operations SharePoint site and reference materials.
· Generate and maintain basic reports and trackers to support operational visibility.
· Partner closely with senior Business Operations staff to support recurring operational processes.
· Serve as a primary operational contact for internal teams regarding GBS Help ticket submission, monitoring, and communication.
Decision-Making Authority
· Independently prepare and submit contract documentation into approved systems.
· Maintain and update operational trackers, systems, and repositories.
Knowledge, Skills & Competencies
· Working knowledge of contract administration and vendor management processes.
