Core Responsibilities
- Daily Coordination: Open and manage the job site trailer; ensure the facility is professional, organized, and fully stocked with necessary supplies.
- Meeting Facilitation: Attend the daily Plan of the Day (POD) meeting at 7:00 AM sharp. Capture detailed minutes, track action items, and distribute updates to stakeholders.
- Operational Support: Support a diverse group of onsite personnel and visitors. Handle catering coordination and interface with goods/services vendors.
- Documentation & Reporting: Manage project files via SharePoint and OneNote. Assist with expense reporting using SumTotal and handle document markups using Adobe Pro or Bluebeam.
- Problem Solving: Act as a resourceful point of contact for onsite troubleshooting, ensuring administrative roadblocks are cleared to keep construction moving forward.
- Experience: 5+ years of administrative experience (3+ years in a high-level capacity).
- Technical Proficiency: Advanced skills in Microsoft Office Suite, SharePoint, and OneNote. Experience with Adobe Pro or Bluebeam.
- Soft Skills: Exceptional written and verbal communication; the ability to work independently while collaborating with a larger regional admin network.
- Reliability: Proven track record of punctuality for 7:00 AM operational starts.
- Industry Experience: Prior experience in a construction trailer environment or supporting energy/utility capital projects.
- Software: Proficiency in SAP and experience with SumTotal (or similar expense reporting software).
