Are you a highly organized professional with a knack for keeping complex projects on track and on budget? We are seeking a Project Coordinator to anchor our project management team. In this vital role, you will bridge the gap between field operations, finance, and client satisfaction by managing crucial administrative, financial, and safety workflows.
Key Responsibilities
- Contract & Document Management: Oversee the lifecycle of RFI’s, RFP’s, submittals, and proposals. Produce comprehensive submittal packages (including network flow diagrams, schedules, and bills of materials) and manage total project closeouts.
- Project Accounting & Billing: Support financial health by driving customer invoicing, tracking project costs, entering schedule re-estimates into tracking systems, and managing labor, material, and service tickets.
- Subcontractor Administration: Facilitate the subcontract process using digital templates. Collect and organize vital compliance documents (COIs, waivers, bonding) and resolve subcontractor invoicing and payment issues.
- Procurement & Logistics: Utilize electronic purchasing tools to source, order, and track project materials efficiently.
- Safety Compliance: Assist management with safety program coordination, ensuring monthly toolbox training is logged and teams have proper safety equipment.
- Proven experience supporting project teams within the construction or building maintenance industries.
- strong foundational knowledge of project accounting and costing principles.
- Proficient computer skills (Windows environment, Microsoft Office, email).
- Excellent interpersonal and communication skills for interfacing with internal teams and external clients.
- High School Diploma or equivalent (Associates Degree or higher preferred).
- Experience with government contracting and specialized construction documentation.
- Advanced proficiency in Microsoft Excel, PowerPoint, and Microsoft Project.
- A sharp ability to prioritize tasks based on their financial impact on business goals.
salary: $32 - $37 per hour

Responsibilities
• Support the projects business activities such as RFI's, RFP's, submittals, subcontract processing, managing project documentation, support of booking or cost tracking system entry, and customer invoicing
• Completes the delivery of project or sales related administrative tasks to ensure customer expectations and internal project financial commitments are met
• Supports new contracts and manages any changes to existing maintenance and service, retrofit or PSA contracts, Labor and Material tickets, and service order management tickets
• Assists with the subcontract process. Assists project management by generating the subcontracts online or using templates. Organizes subcontractor documentation such as waivers, certificates of insurance, wrap ups, and bonding information. Manages subcontractor invoices by releasing for payment or researching payment problems.
• Manages project documentation files. Gathers documents such as submittal documentation, customer communication, subcontracts documents, and proposals. Completes project closeout checklists including as-builts, final invoicing to the customer, warranty letters, project books and training documentation.
• Produces submittal packages for use by technicians, engineers or the customer. Gathers documents such as network flow diagrams, room schedules, project bill of materials, etc
• Assists with procurement of materials utilizing electronic purchasing/ordering tools to enter and track project materials
