A leading organization in the defense and technology sector is seeking a contract Events Manager to oversee and manage its upcoming portfolio of community relations events, conferences, and tradeshows through the end of the year.
In this dynamic, hybrid role, you will spend 50% of your time working on-site (2 days in office, 2 days remote) to manage critical logistics, coordinate with high-level stakeholders, and handle essential on-site tasks like shipping event kits and coordination through the corporate mailroom. Because packages must be dispatched by noon, a candidate with morning availability across a 4-day workweek (Monday–Thursday) is highly preferred.

Responsibilities
- Event Execution & Logistics: Deliver end-to-end management for an established schedule of partnerships, tradeshows, conferences, and community events. Coordinate mailroom shipments, build and send out event kits, and manage general logistics, ensuring packages are prepared and picked up by the noon daily deadline.
- Stakeholder Coordination: Lead cross-functional efforts and collaborate closely with the communications team to ensure events remain on-brand. Coordinate and brief business executives and point-of-contact representation for all scheduled events.
- Vendor & Budget Tracking: Negotiate and coordinate with required third-party vendors regarding event production, budgeting, logistics, and invoicing. Monitor and manage the assigned events budget in collaboration with the organization’s finance partner.
- Travel & On-Site Support: Attend and support designated events, including those located outside of the immediate Washington D.C. metro area, facilitating smooth operations and seeing programs through to final execution.
- Administrative & Media Support: Utilize Microsoft Office Suite, SharePoint, and Costpoint to track progress, develop post-event feedback surveys, and generate reporting. Facilitate media interviews with business Subject Matter Experts (SMEs) at designated shows as needed.
