Responsibilities
**Hybrid position, 3 days in office and 2 days remote**
Key Responsibilities-
- Calendar & Interview Logistics: Manage complex, multi-time-zone interview schedules, coordinate leadership calendars, and handle rapid scheduling shifts smoothly.
- Process Management: Open and track internal job requisitions (RACs) and guide administrative workflows from start to finish.
- Documentation & Compliance: Draft, audit, and issue formal offer letters and oversee pre-boarding documentation with strict attention to detail.
- Data Integrity: Maintain accurate, up-to-date records within internal HRIS/ATS databases and tracking spreadsheets.
- Cross-Functional Partnership: Act as the central administrative bridge between candidates, hiring executives, and human resources to ensure a seamless experience.
- Reporting & Support: Generate administrative reports and provide general operational support to the broader department.
- Experience: 7+ years of experience as an Executive Assistant, Senior Administrative Assistant, Operations Coordinator, or high-level Project/Talent Coordinator.
- Technical Savvy: High proficiency with Microsoft Office Suite / Google Workspace and comfort learning data management systems (ATS/HRIS).
- Detail Obsessed: Flawless proofreading skills (for offer letters) and a laser focus on compliance.
