Important Note: This is not a recruiting or sourcing role. You won’t be screening resumes or hunting for candidates. Instead, you will be the mastermind behind the scenes—managing complex executive calendars, orchestrating high-volume interview loops, and ensuring our hiring machine runs flawlessly.
What You’ll Do Every Day:
- Master the Calendar Puzzle: Own the end-to-end scheduling of complex, multi-stage interviews (panels, executive loops, and technical assessments) across multiple time zones.
- Support TA Leadership: Provide dedicated administrative support to our TA leaders, managing their calendars, travel coordination, and expense reports.
- Pivot with Purpose: Act as the department's "air traffic controller." When an urgent hiring priority drops or an interviewer cancels last minute, you will gracefully re-arrange the pieces without breaking a sweat.
- Champion the Candidate Experience: Serve as the main point of contact for candidates during the interview phase, making sure they feel informed, prepared, and welcomed.
- Keep Us Running Smoothly: Assist with ad-hoc TA projects, maintain internal tracking spreadsheets, and ensure no detail slips through the cracks.
- Experienced: You have 3+ years of experience as an Executive Assistant or Project Coordinator (experience working alongside a HR or Talent Acquisition team is a massive plus!).
- A Scheduling Wizard: You live in Google Workspace or Microsoft Outlook and have a proven track record of managing heavy, complex calendars.
- Adaptable & Resilient: You don’t get easily flustered. You can shift priorities instantly when a hiring emergency arises.
- An Elite Communicator: You are professional, warm, and clear, whether you're emailing a C-suite executive or guiding a nervous candidate through their interview day.
- Detail-Obsessed: You notice the double-booked calendar, the missing Zoom link, or the time zone mix-up before anyone else does.

Responsibilities
**NON RECRUITMENT ROLE** | **Hybrid position, 3 days in office and 2 days remote**
Key Responsibilities:
- Support full-cycle recruitment efforts, including scheduling interviews, coordinating with hiring managers, and ensuring a seamless candidate experience.
- Manage applicant tracking systems and maintain accurate candidate records.
- Partner with recruiters and HR leaders to build talent pipelines and ensure timely follow-up with candidates.
- Assist with onboarding processes, background checks, and compliance documentation.
- Provide reporting and analytics to support recruitment strategies.
- 3+ years of experience in Talent Acquisition, Talent Coordination, or Executive Assistant background.
- Great knowledge of ATS/HRIS systems and proficiency with Microsoft Office/Google Suite.
- Excellent communication, organizational, and multitasking skills.
- Ability to thrive in a dynamic, fast-paced environment.
