A thriving local practice is seeking a dependable Front Desk Administrator to join their team in a temp-to-hire capacity. This is considered a part time position, 24-28 hours a week, working Monday-Thursday 6-7 hours per day. This role is perfect for someone who excels at keeping schedules running smoothly while providing a warm, welcoming environment for their clients.
What You’ll Do:
- Be the Face & Voice: Warmly greet clients as they arrive and manage the multi-line phone system with a helpful, compassionate demeanor.
- Master the Schedule: Coordinate and manage clinicians' calendars, book appointments, and diligently maintain the client waitlist.
- Keep Things Moving: Handle daily administrative tasks, including processing client intake paperwork, filing, and digital record-keeping.
- Financial Support: Assist with basic billing functions and collecting co-pays.
- The Ultimate Professional: High emotional intelligence and an absolute commitment to client discretion and confidentiality (HIPAA compliance).
- An Organizational Pro: Ability to juggle phone calls, scheduling software, and paperwork without losing your cool.
- Tech-Savvy: Comfortable with standard office software and eager to learn electronic health record (EHR) systems. Prior experience in a medical practice is a huge plus!

Responsibilities
- Reception & Client Services: Greet clients upon arrival, manage the check-in process, and maintain a tidy, welcoming waiting area.
- Communication Management: Answer incoming phone calls, return voicemails promptly, and route inquiries to the appropriate clinician or administrator.
- Scheduling & Waitlist Oversight: Manage complex calendars for multiple clinicians, schedule initial and follow-up appointments, and actively manage the practice waitlist to fill openings.
- Documentation & Filing: Process intake paperwork, update client electronic records, and maintain physical and digital filing systems in accordance with compliance standards.
- Financial Administration: Process daily client payments/co-pays and potentially assist with basic medical billing, insurance verification, and invoicing.
- Confidentiality: Maintain strict adherence to HIPAA guidelines and practice policies regarding patient privacy and sensitive information.
