The Accounts Payable Clerk is responsible for supporting the finance department by processing, verifying, and reconciling invoices and payments. This role ensures that vendor accounts are managed accurately and efficiently while maintaining vendor relationships. The ideal candidate will leverage specialized accounting and ERP software to streamline data entry, automate workflows, and maintain an organized, paperless financial record system.

Responsibilities

• Receive, review, and accurately enter a high volume of vendor invoices into the accounting software (e.g., NetSuite, QuickBooks, SAP, or Sage)
• Schedule and prepare weekly/bi-weekly payment runs, including ACH transfers, wire transfers, credit card payments, and paper checks.
• Utilize automated payment platforms to route invoices for internal approval.
• Respond to all vendor inquiries regarding payment status, discrepancies, and tax documentation (W-9s).
• Reconcile monthly vendor statements against internal software records to identify and resolve omissions or errors.
  
  
• Perform monthly reconciliations of the Accounts Payable subsidiary ledger to the General Ledger.
• Assist in the month-end closing process by ensuring all current month expenses are posted or accrued accurately.
• Maintain digital filing systems within the document management software to ensure an easy-to-navigate audit trail.
• Assist in year-end 1099 processing and reporting for independent contractors.
