Schedule: Monday – Friday, 8:00 AM – 5:00 PM (Possibility of overtime)

About the Role Are you a master multitasker who thrives in a fast-paced environment? We are a very busy irrigation company looking for a sharp, dependable Temporary Office Coordinator to cover a 6-to-8-week leave of absence.
In this role, you will be managing customer calls, scheduling our irrigation technicians, and handling the daily billing. Because this is a short-term coverage role, proficiency with QuickBooks Desktop is an absolute must so you can dive right in with minimal training.
Key Responsibilities
- Customer Coordination: Answer incoming calls from customers experiencing irrigation issues with a friendly, helpful attitude.
- Order Entry: Accurately enter sales orders into QuickBooks Desktop while on the phone or processing requests.
- Dispatch & Scheduling: Efficiently plan and coordinate the daily schedules for our field irrigation technicians, ensuring logical routing and timely arrival.
- Invoicing: Follow up after technician visits to convert sales orders into final invoices within QuickBooks Desktop and send them to customers.
- Daily Operations: Keep the office running smoothly during our peak busy season.
- QuickBooks Desktop Experience: (Required) Must have hands-on, fluent experience entering sales orders and invoicing.
- Scheduling/Dispatching Experience: Prior experience coordinating field technicians, contractors, or delivery routes is highly preferred.
- Thick-Skinned & Fast-Paced: Ability to stay calm, organized, and polite under pressure in a high-volume, busy office environment.
- Communication Skills: Clear, professional phone etiquette and excellent written communication for customer emails.
- Reliability: Punctuality is critical to ensure our technicians hit the road on time each morning.

Responsibilities
We are looking for an admin who can manage answering phones, entering orders into Quickbooks, organizing deliveries for our drivers, greeting customers, and other office duties.
Covering a medical leave of absend for 6-8 weeks
Possible overtime is available
We are looking to get someone in here before I go on leave so I can give them a little bit of training.
The hours would be 8 to 5. They do not need advanced knowledge of Quickbooks, but we need someone who has used it, understands the basics, and can navigate through it.
