- Experience: 1–3 years in front office admin, dispatching, or customer service (experience in construction, building materials, or home services is a plus but not required!).
- Tech Savvy: Comfortable with CRM platforms, digital scheduling tools, and standard office software.
- Skills: Fantastic phone etiquette, great attention to detail, and top-tier organizational abilities.

Responsibilities
- Client Intake & Inquiry Handling
Serve as the first point of contact for incoming calls, web leads, and walk-in clients. Answer customer questions regarding window/door repair, replacement services, product specs, and warranty coverage while capturing precise job details.
- Service Scheduling & Dispatch Coordination
Schedule field estimates, window/door measurements, installations, and repair services. Optimize daily routes for field technicians and sales reps to ensure on-time arrivals and efficient travel time.
- Order Processing & Vendor Tracking
Place custom orders with window and door manufacturers according to exact measurements and specs. Track order statuses, arrival dates, and backorders to keep customers and project managers updated on project timelines.
- Permitting & HOA Compliance Support
Coordinate local municipal permit applications, glass/impact code documentation, and HOA submittal forms required prior to window and door installations.
- Customer Billing & Payment Collection
Process customer deposits, final balances, and financing paperwork upon job completion. Issue invoices, balance daily receipts, and collaborate with accounting on outstanding accounts receivable.
- CRM & Database Maintenance
Maintain accurate customer records, field notes, service history, photo logs, and job status updates within the company CRM/job-management system.
