Responsibilities
Accounts Receivable
- Process daily cash receipts, prepare bank deposits, fill out daily cash control sheets, and complete month-end bank reconciliations.
- Generate and issue customer invoices, verifying details against packing slips and bills of lading.
- Manage customer credit files, process credit applications, and issue approved credits or adjustments.
- Conduct daily collection calls and professional follow-ups to resolve payment discrepancies, chargebacks, and returns.
- Match, code (GL numbers), stamp, and route vendor invoices for CFO approval before entering data into the accounting system.
- Generate trial payment reports, run check runs, print/mail approved vendor checks, and maintain organized AP vendor files.
- Track daily banking activity (deposits, disbursements, borrowing base reports) and reconcile monthly credit card statements and employee expense reports.
- Maintain vehicle titles/insurance records, certificates of insurance (COI), and petty cash drawer reconciliations.
- Serve as a front-office touchpoint: answer telephone switchboard calls, greet visitors, process incoming/outgoing mail, and manage postage meter usage.
- Inventory, order, and restock company office supplies.
- Assist the accounting team with year-end file archiving, posting period adjustments, and special projects.
