Key Responsibilities
- Document Management: Log, track, and distribute all project documentation, including RFIs, submittals, design drawings, specs, and change orders using project management software.
- Engineering Support: Assist project engineers with administrative tasks, including processing technical submittals, routing vendor documents, and logging engineering queries.
- Revision Control: Verify that design revisions and updated drawing sets are promptly archived and accurately distributed to sub-contractors and field teams.
- Quality Assurance: Audit incoming engineering and construction documents for compliance, correct metadata, and complete signatures before filing.
- Reporting & Tracking: Maintain accurate document logs and generate weekly status updates on pending submittals and approvals.
- Project Closeout: Assist in compiling final turn-over packages, as-built drawings, operations manuals, and warranty documentation as project phases finish.
- Experience: 2+ years of administrative or document control experience, preferably in construction, engineering, or industrial facilities.
- Software: Proficiency with Microsoft Office (Excel, Word). Familiarity with construction management software (e.g., Procore, Bluebeam, SharePoint, or Aconex) highly desired.

Responsibilities
- Document Management: Maintain, organize, and update all project records, including RFIs, submittals, specifications, drawings (BIM/CAD models), and change orders using PMIS software (e.g., Procore, Aconex).
- Engineering Support: Assist project engineers with logging, processing, and routing technical document submittals and engineering queries between subcontractors, architects, and owners.
- Revision Control: Ensure all field teams and subcontractors operate from the latest design drawings, spec sheets, and revision sets.
- Quality & Compliance Checks: Audit incoming documents for proper formatting, completeness, and accurate metadata before distribution.
- Closeout Documentation: Assemble, cross-reference, and organize final closeout deliverables, owner manuals, and as-built drawings as phases conclude.
- Meeting & Reporting Support: Compile document logs, prepare weekly progress reports, and attend project meetings to take action items related to document routing.
