Department: Records Management
Role Overview The Records Indexing clerk is responsible for the systematic organization, classification, and digital tagging of corporate records. You will bridge the gap between raw data and accessible information by ensuring every document—whether a legal contract, financial statement, or medical records accurately captured and assigned the metadata necessary for rapid retrieval and regulatory compliance.
Key Responsibilities
- Data Extraction & Tagging: Analyze physical and digital documents to identify and extract key metadata (e.g., Client Names, Dates, ID Numbers, and Document Types).
- Quality Assurance: Audit indexed entries to ensure high data integrity, correcting typos or misclassifications that could lead to "lost" records.
- Digital Transformation: Oversee the high-volume scanning of physical files and apply Optical Character Recognition (OCR) tools to convert images into searchable text.
- Database Management: Maintain and update the Master Index within the Document Management System (DMS).
- Compliance & Retention: Apply retention schedules to records based on their index dates to ensure legal and regulatory compliance.
- Collaboration: Work with various departments to define custom indexing fields for specialized projects.
- Experience: 1 years in records management, library science, or high-volume data entry. - Comptuer savey
- Technical Proficiency: Familiarity with Document Management
- Detail-Oriented: Exceptional accuracy and the ability to spot minute discrepancies in large datasets.
- Confidentiality: Demonstrated ability to handle sensitive data with high integrity.
- Ability to operate high-speed production scanners.
- Ability to sit for extended periods while performing digital coding.
