The Temporary Service Coordinator supports the Service Coordination team by managing high-volume administrative tasks, ensuring timely customer communication, and maintaining accurate system data across multiple platforms. This role requires strong organizational skills, attention to detail, sound judgment when handling sensitive information, and the ability to prioritize in a fast-paced environment.

responsibilities:
- Manage and prioritize multiple tasks simultaneously in a high-volume, fast-paced environment
- Monitor and triage shared mailboxes (including ServicePO inbox), ensuring:
- Purchase Orders (POs) are processed accurately and timely
- Customer requests are routed to the appropriate team members or departments
- Urgent matters are identified and escalated appropriately
- Process customer credit card payments securely through BillTrust in accordance with company policies
- Provide prompt, professional communication to customers via email and phone
- Create and maintain work orders in SAP and Salesforce
- Dispatch service calls using GANTT scheduling tools
- Prepare and send service estimates to customers
- Send service reports upon customer request
- Request and track Purchase Orders for Time & Materials (T&M) service requests
- Assist with weekly customer tollgate communications
- Support data cleanup initiatives to ensure system accuracy and consistency
- Follow up on aging complaints and open service items to drive resolution
- Validate and align equipment records, billing details, and PO information across SAP and Salesforce
- Maintain confidentiality and accuracy when handling sensitive customer and payment information
- Provide general administrative support to Service Coordinators as needed
qualifications:
Strong multitasking and prioritization skills
Ability to quickly shift between multiple systems and tasks
High attention to detail and accuracy in data entry
Strong written and verbal communication skills
Ability to identify urgency and escalate appropriately
Experience with SAP, Salesforce, BillTrust, or similar CRM/ERP systems preferred
Customer service and payment processing experience preferred
Ability to handle confidential and sensitive information responsibly
