Communication Hub: Act as the primary point of contact for all communications, prioritizing and responding to incoming mail, email, and phone calls. Document Management: Draft, proofread, and finalize a wide variety of confidential documents, reports, and correspondence. Operational Excellence: Recommend and implement improvements to administrative workflows and track time-sensitive items on behalf of management. Meeting Coordination: Take and transcribe dictation and minutes for meetings and proceedings. Qualifications: A associates degree and at least two years of administrative or secretarial experience. Manages and closely monitors Management’s calendars; schedules and coordinates appointments, conferences and itineraries; makes travel and lodging arrangements; completes travel reimbursement documentation. Interprets, recommends and implements improvements to administrative policies and internal workflow procedures. Takes special attention to important matters received or observed, such as incoming postal mail, electronic mail, correspondence, statements, phone calls and internal staff actions. In Management’s absence, ensures that requests for action or information are completed or referred to appropriate staff member or area of responsibility; determines whether Management should be notified of high-priority or emergent matters. Initiates and composes correspondence, memos, spreadsheets, logs, invoices, and reports in final form, for approval or signature of Management. Prepare and distribute outgoing electronic mail and correspondence on behalf of Management; as authorized, may utilize an electronic signature or stamp for Management. May serve as a representative and liaison for Management by disseminating instructions and following-up on the status of time sensitive items within the Expressway Authority.
