They are seeking a highly motivated, analytical, and detail-oriented Payroll and Accounts Payable Manager to oversee daily financial operations for multiple projects and entities. responsibilities:
Payroll Administration
- Full-Cycle Processing: Oversee and execute accurate bi-weekly payroll for over 50 employees.
- Benefits & Compliance: Manage updates and submissions for 401(k), HSA, FSA, and other benefit plans with third-party administrators , including annual plan setups.
- Accounting Integration: Record all payroll-related journal entries and prepare monthly labor allocations across multiple corporate entities.
- Onboarding & Offboarding: Handle payroll system setups for new hires and process employee terminations as needed.
- Audits & Reporting: Assist with annual worker's compensation and 401(k) audits , prepare year-end W-2s , and complete mandatory compliance surveys.
- Disbursements: Oversee weekly payment runs , providing final invoice approvals and reviewing transactions processed by other staff.
- Reporting: Prepare and deliver regular AP reports to controllers for final payment reviews and approvals.
- Banking Operations: Perform weekly bank reconciliations , manage positive pay uploads, and resolve exceptions.
- Vendor & Tax Management: Set up and maintain vendor profiles within the accounting software and oversee annual 1099 reporting.
- Confidential Files: Personally process monthly credit card charges and sensitive or confidential invoices.

Required Qualifications:
- Experience: 5-7 years of hands-on experience managing both Payroll and Accounts Payable functions, or an Accounting degree.
- Multi-Entity Accounting: Proven experience managing financials and allocations across multiple divisions, locations, or corporate entities.
- Core Competencies: Exceptional organizational, planning, communication, and analytical skills.
- Cultural Fit: A flexible team player who enjoys a collaborative, smaller office environment.
- Integrity: Utmost discretion and trustworthiness when handling highly sensitive and confidential financial data.
- Industry Background: Previous experience within real estate development, property management, or construction.
- Technical Skills: High proficiency in Microsoft Excel for data analysis and labor allocations.
- Software: Familiarity with automated payroll platforms and cloud-based accounting software.
