A Facilities Coordinator is needed for a leader in the world of Technical Services and Engineering in the Pasadena, CA area. This position oversees daily office operations, vendor management, safety compliance, and employee support functions while serving as the primary liaison for facilities-related matters to ensure a safe, efficient, and well-maintained workplace.

responsibilities:
- Act as the main point of contact for all facility-related issues at assigned office(s)
- Coordinate and manage vendor and service provider activities
- Review facility projects with Facilities Manager/Director for approval
- Collaborate with Facilities Manager/Director and other support functions (e.g., IT, Security, Reprographics)
- Partner with the Safety Committee to create and maintain the emergency evacuation plan (OSHEP)
- Serve as Security/Emergency Coordinator and support the business continuity plan
- Take and distribute meeting notes for internal department meetings
- Provide site-specific data for annual budgeting processes
- Submit monthly safety and occupancy reports (e.g., Industry Safe reports)
- Collect and report data related to sustainability initiatives
- Maintain Safety Data Sheets (SDS) for on-site products
- Attend regular facility team meetings
- Encourage and enforce a safe and secure work environment
- Ensure compliance with corporate policies, ethics standards, and safety regulations
- Oversee maintenance of emergency supplies (e.g., AEDs, fire extinguishers, first aid kits)
- Provide oversight and support to other facilities staff
- Coordinate with HR, IT, and hiring managers for employee onboarding and offboarding
- Manage office seating assignments using Archibus or similar system
- Handle additional site-specific responsibilities as needed
- High school diploma or equivalent required
- 8-10 years of relevant experience, including some in a lead role
- Some college education preferred
- strong written and verbal communication skills
- Excellent organizational and customer service abilities
- Proficiency in Microsoft Office 365 and internet tools
- Ability to work independently and as part of a team
- Capable of working with staff at all organizational levels
- Effective under time constraints; skilled at prioritizing tasks
- Detail-oriented with applied knowledge of safety codes and facilities regulations
- Ability to deliver clear work instructions
