Responsibilities
- Manage complex calendars, schedule meetings, coordinate travel arrangements, and act as a liaison for the executive team.
- Prepare reports, presentations, and relevant documents; maintain files, records, and correspondence to ensure readiness for meetings and executive functions.
- Draft letters, internal communications, and other documents; conduct research and collect information to support decision-making.
- Support board and committee operations by preparing materials, attending meetings, and maintaining official records.
- Represent senior leadership at internal or external meetings as needed, acting as a spokesperson and reporting back on key updates.
- Welcome and assist guests, clients, and partners—both in person and by phone—ensuring inquiries are addressed or routed appropriately.
- Coordinate and execute logistics for events such as business lunches, team meetings, or client-facing engagements.
- Conduct organizational and external research to support the organization’s strategic goals.
- Maintain office supply inventory and vendor relationships; place and track orders as necessary.
- Establish and maintain efficient filing systems to ensure easy retrieval of important documentation and historical reference.
- Stay up to date with industry best practices by participating in professional development opportunities and networks.
- Perform other administrative or special project duties as assigned.
