Position Summary This position serves as the administrative backbone for a dispersed team of approximately 6-7 staff members, with a primary focus on supporting two Managers. Although the team is based across the U.S., the preference is for a DC-based professional who can anchor logistics from the headquarters. Proficiency in project management tools (Asana) and complex scheduling for remote/traveling leadership is essential.

Responsibilities
Key Responsibilities
- Coordinate and maintain complex calendars for senior leaders to optimize time
- Determine the nature of appointments, obtain background materials, monitor deadlines, and prioritize conflicting requests for a remote/traveling team
- Utilize Asana to track program deliverables and team timelines
- Assist in preparing for meetings by coordinating with relevant team members to create briefing books, gather documents, and prepare agendas
- Coordinate complex international and local travel, including preparing detailed itineraries, arranging flight/hotel reservations, researching safety requirements, and managing logistics
- Input proper coding into the financial system (Concur) and serve as the liaison with accounting to track payments
- Manage communications, including drafting and editing internal and external correspondence
- Maintain relationships with internal colleagues to facilitate communication within a dispersed team structure
- Provide support for key priorities and initiatives, such as strategic trips and events, ensuring prompt attention to all activities
- Expert proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Teams, and Zoom
- Asana for project management
- Concur for travel and expenses
- Ability to use ChatGPT to support research and work priorities
